Welcome to CosmoLex NextGen — a modern, cloud-based legal practice management platform designed to help you run your firm efficiently from day one. This guide walks you through the key areas of the system so you can get up and running quickly.

Navigating the Interface

Left Navigation Panel

The left panel is your primary way to move through the system. It's organized to put the areas you'll use most within easy reach:

  • Time and Calendar appear at the top for quick access.
  • Billing and Documents have their own dedicated spots on the main menu — no digging through submenus.
  • Banking has its own dedicated tab.
  • Practice brings together tasks, communication, notes, intake forms, chat, and phone messages in one place.
  • Many sections are expandable, so you can drill into what you need without leaving your current view.

Top Navigation Bar

The top bar stays clean and consistent across the app. It includes:

  • Quick Action menu — create new items without navigating away from what you're doing.
  • Profile menu — access your account settings, subscription info, billing portal, setup options, CosmoLexPay, and Help resources (including keyboard shortcuts, release notes, and the support portal).

Core Features

Matters

Matters are the foundation of how you organize your work in CosmoLex. You can create a matter, configure its settings, and manage everything related to it in one place. The matters grid also lets you take action on multiple matters at once using bulk actions.

Contacts

The Add Contact screen is organized into sections, with required fields presented upfront so you can add a contact quickly without scrolling. Bulk actions are available here as well.

Time and Expenses

You can log time and expenses the way that works best for you. A time dashboard gives you a quick overview of your billable entries, and you can edit them directly from the dashboard without opening each one individually.

Invoices

The invoice screen is designed to make it easy to add timecards and expenses and edit entries on the spot. Bulk actions are available here, too.

Payments

The payments screen brings all payment sources together in one place. You can view payments by client, matter, or invoice, and drill into the details without leaving the screen. You also have control over how partial payments are applied across fees, costs, and timekeepers.

Calendar

Your calendar is accessible directly from the left navigation panel. Task and note cards display key details — matter name, assignee, and date — so you can get the context you need at a glance. You can view and add tasks directly from the calendar.

Documents

Your documents are accessible from the main navigation panel. In addition to a list view, you can switch to a tile view for a more visual way to browse files.

Tasks

You can manage your tasks in a traditional grid view or switch to an interactive board view. Marking a task complete is a one-click action — no need to open it first.

Banking and Accounting

You will also find tabs for Banking and Accounting on the navigation panel. Accounting includes Chart of Accounts, Journal Entries, and Accounts Payable. You can apply custom views to the reconciliation screen and print checks when creating your reconciliation statement.

Dashboards and Reporting

You can customize your dashboards, rearrange the layout, and build and save custom data views. Data views can also be shared with others or exported. All standard reports are available under the Reports section.

Global Search

Type a few letters into the search bar and the system searches across matters, contacts, entries, and more — instantly.

If you want more automation and structure, you can upgrade your plan in NextGen to enjoy the advanced features that include:

  • Matter Templates — Build reusable templates for common matter types to ensure consistency and speed up intake.
  • Matter Budget — Set time, cost, and expense limits on specific matters so you stay within scope.
  • Project Management — Organize work on a project board using a pre-built template or one you create yourself.
  • Workflows — Set up automated actions triggered by specific events, so critical steps never get missed.
