Creating and Managing Tasks

Tasks are used to organize workflows, facilitate collaboration, and enable efficient deadline management. They monitor progress, foster accountability, and document actions for auditing, contributing to overall efficiency in handling legal matters.

Add a Task

From the Matter

  1. From the left navigation panel, click Matters.
  2. Once you’re on the Matters screen, double-click a matter and scroll down to view its details.
  3. From the tabs on the matter’s summary section, click Matter Management.
  4. From the tabs on the Matter Management section, click Tasks.
  5. From the toolbar, click +Add Task.
  6. Enter the Task details.
  7. Once you’ve entered all of the task details, in the top right, click Save.

Add Task Screen Fields

Task Name Enter the task name.
Mark this task as private If desired, check this box to block other users’ ability to view the task.
Billing Status From the drop-down, click the billing status.
Note: If you mark this task as Billable, you will see the checkbox, Create timecard for this Task. If you check the box the system will automatically create a timecard for this task based on the rate of the Primary Assignee selected.
Start Date From the drop-down, click the task start date.
Due Date From the drop-down, click the task due date.
Estimated Hours  Enter the estimated hours.
Actual Hours Enter the actual hours.
Priority Use the drop-down to select from Low, Medium, or High.
Reminders Click Add Reminder. Use the drop-down and entry fields to set your reminders.
Primary Assignee  From the drop-down, click the primary assignee. Click Add Additional Assignee to add them when applicable. Any users restricted by the Ethical Wall will not be displayed in the drop-down.

Important: Only the Primary Assignee receives email reminders.

Custom Labels Click Add New Label to add labels, if desired.
Description Enter a task description.
Task Options Use the Status field’s drop-down to click a status.

Important: Once you complete a billable task, you must:

  • Enter the time and/or expense associated with the task.
  • Edit the task to update the Billing Status to Billed.
Task Color Click a color to assign it to the task, if desired.
Send an Email When the Task is Completed Uncheck the box, or leave it checked.

Delete a Task

To delete a task:

  1. From the left navigation panel, click Matters.
  2. Once you’re on the Matters screen, double-click a matter and scroll down to view its details.
  3. From the tabs on the matter’s summary section, click Matter Management.
  4. From the tabs on the Matter Management section, click Tasks.
  5. To delete the task, click on the three dots to the right of the task.
  6. A warning box will appear that reads “Are you sure you want to delete the selected Task?
  7. Click ‘Delete‘; the task will be deleted and cannot be recovered.

Viewing Your Tasks

To see all of your tasks, navigate to the Dashboard in the left-hand panel and choose to view the Me dashboard.

Here, you will find a comprehensive list of all tasks assigned to you.

Viewing All Tasks

To view all tasks, from the left navigation panel, click Practice Management and from the menu, select Tasks.

Utilize the filter icon to sort by Primary Assignee, status, billable status, and more. After filtering, click the save icon at the top to preserve this view for future quick access and reference if desired.
