Pairing Your Firm’s Domain for Sending Email

How to pair your firm’s domain with Rocket Matter CRM so CRM emails are sent from your firm’s own domain.

By default, emails sent from Rocket Matter CRM come from our default domain and are sent on behalf of the sender set up in your automations. To improve deliverability, we highly recommend pairing your firm’s domain or a subdomain with your portal so that all CRM emails are sent directly from your firm.

How Pairing Works

  1. Contact Support and tell us which domain or subdomain you want to send from.
  2. Our team adds it to our email sending provider, Mailgun, and sends you a file of DNS records created for your domain.
  3. Give the records to your IT team or webmaster to add to your domain’s DNS settings. See For Your IT Team below.
  4. When the records are added, reply to Support to let us know.
  5. We verify the records, schedule your portal to start sending from your domain, and let you know when it’s live.

⚠ Important: Pairing isn’t automatic. If you don’t tell us the records were added, your portal keeps sending from our default domain.

For Your IT Team

The records go in your domain’s DNS settings, which are usually managed by your domain registrar or a DNS service such as Cloudflare. They don’t go on your website. When you add them:

  • Add each record exactly as provided. The values are unique to your firm.
  • Many DNS providers automatically add your domain to the end of the host name. If yours does, enter only the part before your domain.
  • A domain can have only one SPF record. If one already exists, add include:mailgun.org to it instead of creating a second one.
  • A domain can have only one DMARC record. If a _dmarc record already exists, replace it with the one we provide.
  • DNS changes can take up to 48 hours to take effect.

If you have questions about the records, contact Support.
