Overview
Before Rocket Matter CRM can place calls or send texts on your behalf, every phone number on your account has to go through a series of registration and verification steps with our mobile carrier partner.
These steps exist because carriers and regulators require businesses to prove who they are before their traffic is allowed onto the network. This protects consumers from spam and scam calls or texts, and it protects your numbers from being mislabeled as "Spam Likely" or blocked outright.
This article walks through what happens behind the scenes when we set up calling and texting for your account, roughly how long each step takes, and what you need to do when you add new numbers down the road.
What Is a Marketing Source / DID?
Marketing Source (DID): A "Marketing Source," also called a DID (Direct Inward Dialing number), is a phone number assigned to your Rocket Matter CRM account. Each DID can be used to place outbound calls, send and receive text messages, and track which campaign, ad, or intake source a call or lead came from. Because each DID represents your business on the phone network, every one of them must be registered before it can be used for calling or texting.
How the Registration Process Works
When you purchase a Rocket Matter CRM license, we proactively register your company's information with our mobile carrier on your behalf. Below is the full process, step by step. The timeline listed under each step is an average based on typical carrier processing times. This is not a guaranteed completion date, and actual timing can vary.
Step 1: Create Your Business Profile
The first step is creating a Business Profile with our mobile carrier partner. This profile contains your company's legal business information, including your legal business name, address, EIN/tax ID, industry type, and website. It acts as the foundation that every phone number on your account is tied to. Carriers use this profile to verify that a real, legitimate business is behind the traffic being sent from your numbers.
Average Timeline (not guaranteed): 1 to 3 business days once complete information is submitted.
Delays with this step are typically caused by one of two things:
- Incomplete or mismatched business information, such as a business name or address that doesn't match public business records.
- Website requirements that haven't been met yet. Carriers review your website as part of verifying your business, and may require updates such as:
- A consent check box on any form that collects a phone number
- Clear consent language explaining how the number will be used for calls or texts
- A published, accessible Privacy Policy
- Published Terms of Service
We recommend having these items in place on your website before your Business Profile is submitted. It's the single biggest factor in how quickly this step is approved.
Step 2: Purchase Your DIDs
Once your Business Profile has been created, we purchase the phone number(s), or DIDs, you'll use in Rocket Matter CRM. These can be local numbers matching your area code, toll-free numbers, or a mix of both, depending on what you requested.
Average Timeline (not guaranteed): Same day. Number purchasing itself is instant once your Business Profile exists.
Step 3: Add DIDs to Your Business Profile
Each newly purchased DID is then linked to your Business Profile. This tells the carrier network that these specific numbers belong to your verified business, which is required before the numbers can be registered for texting or calling in the next steps.
Average Timeline (not guaranteed): 1 to 2 business days.
Step 4: Register Your DIDs for Texting
How a DID is registered for texting depends on whether it's a local number or a toll-free number.
Local Numbers: A2P 10DLC Registration
Local DIDs go through Application-to-Person 10-Digit Long Code (A2P 10DLC) registration. This is the standard, carrier-wide framework for businesses sending texts from local numbers. It involves registering your messaging "campaign," essentially a description of what you'll be texting about and to whom, under your Business Profile.
Average Timeline (not guaranteed): 3 to 10 business days, though it can occasionally take longer if a carrier flags the campaign for additional review.
Toll-Free Numbers: Toll-Free Verification (TFV)
Toll-free DIDs go through a separate process called Toll-Free Verification. This confirms the toll-free number is tied to a legitimate business and describes the intended use case for texting.
Average Timeline (not guaranteed): 1 to 3 weeks, as toll-free verification queues can run longer than local A2P 10DLC review.
Step 5: Register for Outbound Calling: SHAKEN/STIR
SHAKEN/STIR is an industry-wide caller ID authentication standard. It allows carriers to verify that a call is actually coming from the business it claims to be from, which reduces the chance of it being flagged as spam or fraud and helps calls display accurately on the recipient's phone.
Average Timeline (not guaranteed): 1 to 3 business days, typically completed shortly after your Business Profile and DIDs are linked.
Step 6: Voice Integrity
Voice Integrity is an additional layer of call branding and reputation monitoring. It continuously verifies that calls from your registered numbers are being properly attested, and helps prevent your numbers from being mislabeled by spam-detection apps and carrier analytics over time.
Average Timeline (not guaranteed): 1 to 2 weeks for initial setup and reputation baseline to establish.
Step 7: CNAM Registration (Optional)
CNAM (Caller ID Name) registration is what allows your business name, rather than just the phone number, to display on a recipient's caller ID. This step is optional but recommended, since it improves answer rates by giving recipients a recognizable name instead of an unfamiliar number.
Average Timeline (not guaranteed): 1 to 4 weeks. CNAM information has to propagate across each individual carrier's own database, so it's the least predictable step and doesn't move at the same pace for every carrier.
Overall Timeline: How Long Until You Can Call and Text
Steps 1 through 5 above are what actually gate your ability to place calls and send texts. Voice Integrity and CNAM (Steps 6 and 7) continue to improve call branding and answer rates after you're already live, so they don't hold up your go-live date.
Average Time to Go Live
- Local numbers (A2P 10DLC): approximately 2 to 3 weeks from the start of Business Profile creation to full calling and texting capability.
- Toll-free numbers (TFV): approximately 3 to 4 weeks from the start of Business Profile creation to full calling and texting capability, since Toll-Free Verification takes longer than A2P 10DLC.
These are averages, not guarantees. A fully complete Business Profile submission with all website requirements already in place is the best way to land on the faster end of these ranges.
Important Notice: Read Before Using Any New Number
⚠ Mandatory: Report All New Numbers to Support. Any newly purchased number, whether purchased through us or brought over from another provider, must be submitted to your account manager or our support team before it is used for calling or texting.
This is how we're able to get the number added to your Business Profile and cleared for use on our system. Numbers that skip this step are not registered under your profile and are at much higher risk of being blocked or flagged as spam.
24-Hour Acclimation Period: Once a new number has been added to your profile, it goes through a 24-hour acclimation period. This time allows the number to adjust to your Business Profile, which helps calls placed from it connect successfully instead of being flagged or dropped by carrier filtering.
Even during this acclimation period, we still recommend registering the number directly with the mobile carriers yourselves. Doing so helps ensure carriers have the most current, accurate information on record for that number as quickly as possible.
⚠ Note: A newly purchased DID already exists in your CRM at the time of purchase, that's how you're able to select and use it. The 24-hour acclimation period is not a delay before the number becomes available in your system. It's the time the number needs to adjust to your Business Profile so that calls placed from it connect successfully. Since your Business Profile, texting registration, and SHAKEN/STIR are already in place for your account, a new number does not need to repeat Steps 1 through 7. It only needs to be submitted to support and complete its 24-hour acclimation period before you start using it for calling and texting.
This acclimation period reflects our recommended best practice for the highest likelihood of successful call connections. It is not a guarantee, as call connection and Caller ID display can still be affected by factors outside our control, including how individual carriers and spam-detection apps independently evaluate a number over time.
